Who is allowed to service your fire alarm, and who decided that

The answer was usually settled the day the panel was chosen, by whoever installed it, and most building owners find out years later when they try to change contractor. This is the protocol question, in plain English.

When a fire alarm system is specified, somebody chooses a panel platform. That choice quietly sets something far more consequential than the badge on the front: how many companies will be able to work on the system afterwards.

An open protocol system uses a language and a device set that multiple competent contractors can service, extend and reprogram. If you want a second quote in year four, you can get one that is genuinely comparable.

A closed or proprietary system is built so that the manufacturer, or only contractors it authorises, can fully work on it. Servicing may be possible more widely; reprogramming, adding devices and changing cause-and-effect frequently are not.

Neither is a fire safety failing, and closed platforms exist for reasons including tighter control over who touches life safety equipment. But the decision is usually made by the party with the least exposure to its consequences, and it is almost never explained to the party paying for the system. That is the thing worth fixing, and it is fixed at specification, in one sentence, for free.

What the difference costs you, in practice

None of this is about which panel detects a fire better. It is about what happens to you commercially for the fifteen years afterwards.

  1. Getting a second quote Any competent contractor can price the same scope, so the price stays tested. Comparable Usually only the incumbent can quote in full, so every renewal after the first is uncontested.
  2. Adding a device Programming and commissioning available to more than one firm. Your choice Frequently requires the authorised contractor, at whatever that is worth on the day.
  3. Changing contractor A takeover, with the existing system inspected and adopted. A service decision Often a panel replacement, which turns a service decision into a capital one.
  4. End of life Replace when the system is genuinely done, on your timetable. On your terms Replacement timing effectively influenced by parts and authorisation availability.

The cheapest sentence you will ever put in a fire alarm specification is the one asking for open protocol, and for the configuration, the as-fitted drawings and the cause-and-effect matrix to be handed over on completion. It costs nothing at tender and it is the difference between owning a system and renting access to it.

Finding out what you already have

You can do most of this yourself in ten minutes, and it is worth knowing before your next renewal rather than during it.

  • Ask your current contractor, plainly, whether the protocol is open
  • Ask whether the programming software is available to other competent contractors

If the answers are vague, that is itself an answer. A contractor with nothing to hide finds these questions easy, because on an open system the honest reply costs them nothing.

What people ask about protocol and lock-in

What does open protocol actually mean?

It means the panel and the devices speak a language more than one company can work with, so more than one company can service, extend and reprogram the system. Closed or proprietary protocol means the opposite: the equipment is designed so that only the manufacturer, or contractors it authorises, can fully work on it. Both exist for real reasons, and neither is automatically wrong. What matters is that it is a decision with consequences lasting the whole life of the system, and it is usually made by whoever installs it rather than by whoever pays for it.

Why should I care which one my building has?

Because it determines whether you can change contractor. A closed system frequently means the company that installed it is the only company that can properly service it, which removes your ability to test the price or replace a firm you have lost confidence in. Every quote after the first is then effectively uncontested. That is not a fire safety problem in itself; it is a commercial one, and it is the single most common reason people ring us wanting to switch and find they cannot easily.

How do I find out what I have got?

Look at the panel, note the manufacturer and the model, and ask three questions: is the protocol open, is the programming software available to other competent contractors, and can devices be sourced from more than one supplier. A contractor who answers all three plainly is telling you something useful. Does a closed system mean I am stuck for ever?

Not for ever, but changing it is a capital decision rather than a service decision. In practice you have three options: stay with the incumbent, replace the panel and keep as much of the cable and device infrastructure as the design allows, or run the existing system to the end of its life and specify open protocol for its replacement. The third is the cheapest and the one most people take once they understand the position. What we will not do is tell you a system needs replacing when it does not.

What should I specify for a new system?

Unless there is a positive reason not to, specify open protocol and put it in writing at tender stage rather than discovering the answer at the first service renewal. It costs nothing at specification and it is expensive to change afterwards. The other two things worth writing into the specification while you are there are that the programming software and configuration are handed over with the system, and that the as-fitted drawings and the cause-and-effect matrix are yours.
